Notes & File Attachments

You can add notes, including file attachments, to various items within Driving School Office.

These notes can be used for any reason, such as:

  • Pupils - recording training requirements, special needs & administrative information.
  • Staff - recording standards check results, certificate numbers, specialist skills & administrative information.
  • Sign Ups - recording training requirements, special needs specialist skills & administrative information.
  • Scans of documents such as licences, certificates and forms of identification.

Managing Notes

Notes can be added to the following items:

  • Pupil Sign Ups
  • Instructor Sign Ups (School Admins)
  • Staff/Instructors  (School Admins/Office Admins)
  • Pupils

The management of notes for the different item types works in a similar way. In this section all example use the pupil record, as this is accessible to all user levels.

The Notes List

Desktop

The following example use the views within the pupil record. All of the notes views work in a similar way.

  1. Add New Note - open a popup allowing you to add a new note. See Adding Notes & file Attachments for more details.
  2. Newly Added Note, No Attachment - this is an example of a note added since this item was opened.
    • This note has not yet been saved and can be removed or edited before saving. Click the 'Edit' & 'Delete' links as required.
    • See Editing Notes or Deleting Notes for more details.
  3. Previously Added Note, With Attachment - this is an example of a note added & saved previously, complete with a file attachment.
    • This note cannot be edited or deleted, but can be marked as void if it is no longer applicable. Click the 'Void' link as required. 
    • See Voiding Notes for more details.
    • The file can be downloaded & viewed by clicking on the link next to paperclip icon.
  4. Previously Added Note, No Attachment - this is an example of a note added & saved previously
    • This note cannot be edited or deleted, but can be marked as void if it is no longer applicable. Click the 'Void' link as required. 
    • See Voiding Notes for more details.

Mobile

The following example use the views within the pupil record. All of the notes views work in a similar way.

Adding Notes & File Attachments

Click/tap the 'Add' button on the relevant notes list. See Using the Notes List for details.

  • Notes - a simple text box for your notes.
  • Attachment - a single file may be attached to a note.
    • This file can be of any type.
    • We support maximum size per file of 20MB; this should be adequate for the majority of document and image types.

Click/tap the 'Change' button once you have finished making any changes. Changes will not be saved until the item with which the note is associated is saved.

Editing Notes

Click/tap the 'Edit' action for a newly added and unsaved item in the relevant notes list. See Using the Notes List for details.

You cannot edit or delete notes that have already been saved. You can however mark them as void. See Voiding Notes for more details.

Click/tap the 'Change' button once you have finished making any changes. Changes will not be saved until the item with which the note is associated is saved.

Deleting & Voiding Notes

Newly Added Notes

You can delete newly added, unsaved notes. 

Click/tap the 'Delete' action for a newly added and unsaved item in the relevant notes list. See Using the Notes List for details.

Previously Saved Notes

You cannot edit or delete a note that has already been saved, but this note can be marked as void if it is no longer applicable. 

Click/tap the 'Void' action for a previously saved item in the relevant notes list. See Using the Notes List for details.

The note will still be visible, but will be marked as 'Void' to indicate that it is not longer applicable or relevant:

Click/tap the 'Restore' action for a previously voided item in the relevant notes list to reverse this.
