Changing & Updating Lessons

You access these features using the diary. For help accessing the diary see Managing My Diary.

Changing Lessons

To change a lesson click/tap on the entry in a diary view. You will be presented with a quick view which summarises the current state of the lesson, along with actions that can be performed with the lesson:

  1. Contextual Information - How many lessons since sign up (including this one).
  2. Pupil & Lesson Times - The pupil's name and lesson times.
  3. Lesson Type & Drop Off/Pick Up.
  4. Payment Status. See Recording & Tracking Payments for details.
  5. Progress Status. See Recording & Tracking Progress for details.
  6. Contact Information - One or more of telephone, mobile and/or home address.
  7. Actions - See Lesson Actions for details.

Changing a Lesson

Use the 'Make Lesson Changes' option via. the lesson quick view. For help accessing the lesson quick options see Changing Lessons.

Lesson Details

Select the 'Lesson' tab to change lesson details such as times, lesson type, drop off & pick up, cover and notes.

Desktop

  1. Pupil Name & Profile Picture
  2. Instructor Name & Profile Picture
  3. Cover Status - show if cover has been requested for this lesson or is if it is currently being covered by another instructor. Click/tap to change. See Requesting Cover for more details.
  4. Contextual Information - How many lessons since sign up (including this one).
  5. Lesson Times - you can change these here. Conflict warning information will be updated as you change these times and show at the bottom of the popup. See Booking Lessons - Conflicts for more details
  6. Quick Duration Change - click/tap these to set the lesson duration relative to start time. Caters for common lesson duration values. Shows the current duration for information.
  7. Lesson Type.
  8. Pick Up/Drop Off - pick up & drop off  locations.
  9. Notes -  any notes regarding the lesson. To record progress and comments after the lesson we recommend you use the progress feature. See Recording Progress After a Lesson for more details.

Mobile

The layout of the tab is different for the Desktop & Mobile interfaces, but the functionality remains the same.

Pupil Progress

For Lesson Bookings

Select the 'Pupil Progress' tab to record, view & change progress for the lesson.

The layout of the tab is different for the Desktop & Mobile interfaces, but the functionality remains the same.

If no progress has been recorded for the lesson the status under 'Progress for This Lesson' will reflect this:

You will be able to use the 'Record progress' link to show the 'Record Pupil Progress for Lesson' popup. See Recording Progress After a Lesson for more details.

If progress has previously been recorded for the lesson the status under 'Progress for This Lesson' will reflect this:

The most recent progress notes for this lesson will be shown. This allow quick access to this information without having to delve into the more detailed progress information.

If you wish to view more details regarding the recorded progress or make changes to it you can use the 'View & edit progress' link to show the 'Record Pupil Progress for Lesson' popup. See Recording Progress After a Lesson for more details.

For Test Bookings

Select the 'Pupil Progress' tab to record, view & change test results for the test.

The layout of the tab is different for the Desktop & Mobile interfaces, but the functionality remains the same.

If no results have been recorded for the test the status under 'Results For This Test' will reflect this:

Payments

Note: Your school may have disabled or simply not set up pupil payments. If so this tab will not be visible.

Select the 'Payments' tab to record, view & change pupil payments for the lesson.

History

Select the 'History' tab to view a timeline of changes made to the lesson.

Currently the timeline does not show precise details of the changes made, but it will tell you who has made changes and when.

Desktop

  • When - the date and time the change was made.
  • Changed By - Who made the change. This will almost always be you or a school administrator.
  • Source - The nature of the change. For example Booked, Edited, Payments Changed, Cover Requested etc.

Mobile

Filter & Sorting Menu - click for filter and sorting options. Currently only supports sorting: Select which field you wish to sort by. Select a direction, ascending or descending.

Cancelling a Lesson

  1. Reason - Why the lesson has been cancelled. Useful for statistics & reporting purposes. See Viewing My Statistics & Reports for more details.
  2. Notes - Any notes regarding the cancellation. These will not be seen by the pupil.

The following are only present if payments are enabled by your school. See Recording Payments Using the Diary for more details about lesson payments.

  1. - Refund Existing Payments - if you choose to refund any payments made then any hourly rate amount will be credited to the pupil's account, whilst any block hours will be returned to the block for future use.
  2. - Payments List - A summary of payments previously made for the lesson.
  3. - Charge for Cancellation - you can choose to apply a cancellation charge. This will be added to the pupil's account as a charge and can later be paid with account credit or by other methods.
  4. - Charge Amount - The amount to charge for cancellation.

Clicking/tapping 'Cancel Lesson' will cancel the lesson. It will no longer be visible on your diary, but you will still be able to access a read-only view of the lesson via. the pupil's lesson history. See
