Pupil Profile & Settings

Adding New Pupils

Click/tap the 'New' button on the pupil list. For help accessing the pupil list see Managing Your Pupils.

You can also use the sub-menu item under the 'Pupils' item:

Another option for signing up pupils is to make use of the Pupil Self Sign Up feature.

The layout of the popup is different for the Desktop & Mobile interfaces, but the functionality remains the same.

General Profile Settings

Basic details about a pupil. Try to fill in as much as possible, particularity the address and various contact details. This information will make your life easier when out on the road.

Pupils can change their profile details themselves if you allow them to log in, so you should encourage them to do so!

  1. Profile Picture - opens the Image Uploader & Editor tool. Encouraging the pupil to upload a face picture will help you recognise them when you turn up for a lesson pick-up.
  2. Log In Email Address (optional) - if you provide this then a welcome email, including a generated password, will be sent to the pupil. This will allow them to log and manage their learning experience with you. See the Pupil Documentation for an insight in to what they can see and do. Notifications will also be sent to this address.
  3. Name - the pupil's first and last names.
  4. Business Source - where your pupil heard about you/your school. Used by various statistics & reports to provide marketing information.
  5. Postal Address (optional) - the pupil's address of residence. We encourage you to fill this in. This information will make your life easier when out on the road.
  6. Contact Details (optional) - the pupil's contact details. We encourage you to fill in as many of these fields as possible. This information will make your life easier when out on the road.
  7. Save - hitting this will save the new pupil, sending them a welcome email containing automatically generated password and log in details.

Pupil Settings

Teaching specific details about a pupil. Try to fill in as much as possible, particularity the date of birth and driving licence number. This information will make your life easier in the future.

Pupils can change some details themselves if you allow them to log in, so you should encourage them to do so!

  1. Previous Experience (optional) - you should ask the pupil about any relevant previous experience and enter any notes here. This will serve as an aid to the memory.The pupil cannot access this information.
  2. Notes (optional) - make any other relevant notes here. This will serve as an aid to the memory. The pupil cannot access this information.
  3. Date of Birth (optional).
  4. Has Pass Plus? (optional).
  5. Driving Licence Number (optional) - we encourage you to fill this in. This information will make your life easier when completing administrative tasks. Pupils can change this themselves.
  6. Default Syllabus - choose the syllabus that is relevant to the pupil's current learning course. The school default is normally appropriate. This can be set on per-lesson basis when booking in.
  7. Default Test Standard  - choose the test standard that is relevant to the pupil's current learning course. The school default is normally appropriate. This can be set on per-lesson basis when booking in.
  8. Lesson Reminder - number of hours before lesson start that the pupils wishes to reminded. The communication method used will depend on their current notification settings.
  9. Default Booking Type - the default lesson booking type. This will be used when a pupil requests a lesson and when booking a lesson for this pupil using the diary to set the initial lesson type.
  10. Default Hourly Rate - the default hourly rate used when paying for lessons. This is the rate at which pupil direct payments for lessons will be made. See Pupil Direct Payments for more details.

Notes & File Attachments

You can add notes, including file attachments, to the pupil.

Changing Existing Pupils

Click/tap a pupil item in the pupil list. For help accessing the pupil list see Managing Your Pupils.

General Profile Settings

This tab is almost identical in behaviour to that used when creating a pupil. See Adding New Pupils - General Profile Settings for details.

The differences are:

  • The 'Change Password' link. Use this to change the pupil's password if they request you to do so.
  • The 'Created At' date - when the pupil was initially created.
  • The 'Is Active' toggle button. This can be used to change the active/inactive state of a pupil. Inactive pupils do not appear in various selection lists within the app, such as when booking a lesson. You should turn pupils inactive when they have passed their test or stopped learning with you. If they come back to you for more tuition you can always use the pupil list to find them and make them inactive again.

Pupil Settings

This tab is identical in behaviour to that used when creating a pupil. See Adding New Pupils - Pupil Settings for details.

Security

This tab provides control over the devices with active sessions for the pupil.

If your pupil reports that they have a stolen or lost device you can log out those devices to ensure the security of their account.

  1. Search - search for sessions by device or IP address. The list will change as you type.
  2. Active Sessions - shows all active log in sessions across all of the pupil's devices.
  3. Multiple Select - multiple select controls for the 'End Selected' session action.
  4. End Selected - ends the currently selected sessions. This is useful if your pupils have a lost or stolen device and wish to ensure that their account is not easily accessible from that device.
  5. End All - ends all session across all devices.
  6. End Session Action - ends the session.

Mobile

  1. Search - search for sessions by device or IP address. Enter your search terms and tap the spyglass button to filter the list.
  2.  Active Sessions - shows all active log in sessions across all of the pupil's devices. Tapping any session except your current session gives the option to end that session. your account is not easily accessible from that device.
  3. Filter & Sorting Menu - click for filter and sorting options. See Filters & Sorting for more information.
  4. End All - Ends all session across your devices except your current session.

  • Sorting - Select which field you wish to sort by. Select a direction, ascending or descending.
