Recording & Collecting Pupil Payments

Note: If your school administrator has not enabled and set up pupil payments for your school then these features will not be available.

To manage payments from your pupils and access payment analytics you can select the ‘Payments’ item from the menu:

Menu > Payments

Where payments are recorded within this feature In-App Card Payments will be available if enabled for your school.

Overview

This view provides a brief summary of the current payment situation for your pupils.

This includes details of pupils with unpaid items and amounts. Clicking/tapping on the summary items will take you to the Pupils List View, filtered based on number of unpaid items.

The layout of the summary view is different for the Desktop & Mobile interfaces, but the functionality remains the same.

Pupils

Shows a complete list of your active pupils with account credit amounts, remaining pre-paid hours and numbers of unpaid items.

Desktop

1. Search - search for pupils by name. The list will change as you type.
2. Unpaid/Paid Filter - filter the pupils shown in the list based on whether they have unpaid items or not.
3. Column Headers - some can be clicked to sort the list based on the contents of the column.
4. Account Credit - shows the amount of account credit for each pupil. This header can be clicked to sort the list based on the contents of the column.
5. Pre-paid Hours - shows the amount of remaining pre-paid hours for each pupil. This header can be clicked to sort the list based on the contents of the column.
6. Unpaid Items - shows the numbers of unpaid items for each pupil, divided by type. Each sub-column header can be clicked to sort the list based on the contents of the column.
7. Pupil Item - click to open the pupil payment summary. See Pupil Payments for more information.
8. Actions Link - Click to show a menu with various options for a particular pupil. See Pupil Item Actions for details.
9. List Page Information - The list only shows a maximum of 10 items at a time. To move back and forward between pages you can use the Prev/Next links here.

Pupil Item Actions

• Purchase a Block or Course - opens the 'Purchase Pre-paid Block or Course' popup. See Pupil Payments - Purchasing a Block or Course for more details.
• Add a Credit or Redeem a Voucher - opens the 'Add a Credit' popup. See Pupil Payments - Add a Credit or Redeem a Voucher for more details.
• Add a Charge - opens the 'Add a Charge' popup. See Pupil Payments - Add a Charge for more details.

Mobile

1. Search - search for pupils by name. Enter your search terms and tap the spyglass button to filter the list.
2. Account Credit - shows the amount of account credit for each pupil.
3. Pre-paid Hours - shows the amount of remaining pre-paid hours for each pupil.
4. Unpaid Items - shows the numbers of unpaid items for each pupil.
5. Pupil Item - tap to show a menu with various options for a particular pupil. See Pupil Item Actions  for more information.
6. Filter & Sorting Menu - click for filter and sorting options. See Filters & Sorting for more information.
7. List Page Information - The list only shows a maximum of 10 items at a time. To move back and forward between pages you can swipe. Swipe left - next page. Swipe right - prev page.

Filters & Sorting

• Unpaid/Paid Filter - filter the pupils shown in the list based on whether they have unpaid items or not.
• Sorting - Select which field you wish to sort by. Select a direction, ascending or descending.

Pupil Item Actions

• Payment Details - show the payment summary popup for the pupil. See Pupil Payments for more details.
• Purchase a Block or Course - opens the 'Purchase Pre-paid Block or Course' popup. See Pupil Payments - Purchasing a Block or Course for more details.
• Add a Credit or Redeem a Voucher - opens the 'Add a Credit' popup. See Pupil Payments - Add a Credit or Redeem a Voucher for more details.

Prices

Select the 'Prices' tab to view your school's current lesson rates and block booking prices.

Instructor Settings

The layout of the tab is different for the Desktop & Mobile interfaces, but the functionality remains the same.

1. In-App Card Payments - once set up, allows you to take card payments directly from pupils as payment for lessons & other items. See In-App Card Payments for more details. This feature is only available if your school has enabled it.
2. Pupil Payment Instructions - This information will be available to pupils when they log in. Accessible via the 'Current Prices' item on their dashboard. You can use this to let your pupils know about additional payment information, such as how they can pay. Please be aware that this information is not stored in a secure manner and therefore you should be careful when entering payment information such as bank account details. This feature is only available if your school has enabled it.

Statistics

Select the 'Statistics' tab to view some simple statistics to give insight into pupil payment activity within your school.

Reports

Within the 'Reports' tab you can run and export data from various reports. These reports provide valuable data on pupil payments.

The reports available include:

• Lesson Payments - View details of lesson payments, including card payments taken using the in-app payment feature.
