Changing an Existing Log

Click/tap a log item in the contact log list. For help accessing the contact log list see Using the Contact Log.

The layout of the popup is different for the Desktop & Mobile interfaces, but the functionality remains the same.

Log

This tab is almost identical in behaviour to that used when recording a contact log.

  1. Status - See Contact Log Processing Statuses & Ownership for more details.
  2. When - the date & time at which the contact was made/received.
  3. Contacting Party Details - details of who contacted your school.
  4. Nature of Contact - the nature of the contact. The value here will change the behaviour of the contact log. See points 6 & 7, and Messages. For links to specific details regarding the recording of the different contact types see Contact Natures.
  5. Contact Method - how the contacting party initially communicated with your school.
  6. Contacting Party Email Address (optional) - used by the 'Messages' tab if provided. For links to specific details regarding the recording of the different contact types see Contact Natures.
  7. Contacting Party Mobile Number (optional).
  8. Notes - additional notes to add to the contact. Can be used to record the contents of call backs & email chains. Will be added as a note to the log upon save.
  9. Recent Notes & Messages -  a summary of the 5 most recent notes added to and messages sent from this contact log.
  10. See Full Change History - switches to the 'Change History' tab, allowing you to view a timeline of changes made to, notes added and messages sent from the contact log.

Messages

This tab is identical in behaviour to that used when recording a contact log. See Recording a New Log - Messages for details.

Change History

Select the 'Change History' tab to view a timeline of changes made to, notes added and messages sent from the contact log.

Currently the timeline does not show precise details of the changes made, but it will tell you who has made changes and when.

Desktop

  • When - the date and time the change was made.
  • Action Type - The type of history entry.
  • Who - Who made the change. This will almost always be you or a school administrator.

Change history entry types available include:

  • Log Created - when the contact log was created and by who.
  • State/Ownership Change - when ownership and/or state was changed and by who.
  • Message Sent - click/tap to show a read-only summary of the message as sent.
  • Notes Added - click/tap to show a read-only summary of the notes added.
  • Pupil Added - shows that a pupil was added as result of this contact. See Recording a New Log - New Pupil for more details.
  • Lesson Booked - shows that a lesson was booked as result of this contact. See Recording a New Log - Lesson Booking Requests for more details.
  • Lesson Cancelled - shows that a lesson was cancelled as result of this contact. See Recording a New Log - Lesson Cancellation Requests for more details.
