Instructor Profile & Settings

This feature is only available to Office Admin users. School Admin users can manage all school staff with a comprehensive interface. See Managing Staff for details.

Adding New Instructors

Click/tap the 'New' button on the instructor list. For help accessing the instructor list see Managing Instructors as an Office Admin.

You can also click/tap the green 'New' button in the corner of the 'Instructors' dashboard item.

You can also use the sub-menu item under the Instructors item:

The layout of the popup is different for the Desktop & Mobile interfaces, but the functionality remains the same.

General Profile Settings

Basic details about an instructor. Try to fill in as much as possible, particularity the address and various contact details. This information will make the lives of you and other administrators easier.

Instructors can change their profile details themselves when they log in, so you should encourage them to do so!

  1. Profile Picture - opens the Image Uploader & Editor tool. Encouraging your instructors to upload a face picture will help your pupils & other staff put a name to a face.
  2. Log In Email Address - when you save, a welcome email, including a generated password, will be sent to the instructor. This will allow them to log in and manage their pupils within your school. See the Instructor Documentation for an insight in to what they can see and do. Notifications will also be sent to this address, see Notification Settings for details.
  3. Name - the instructor's first and last names.
  4. Roles - click/tap to view the instructors roles. For information only, you cannot change their roles.
  5. Postal Address (optional) - the instructor's address of residence. We encourage you to fill this in.
  6. Contact Details (optional) - the instructor's contact details. We encourage you to fill in as many of these fields as possible. This information will make the lives of your and other administrators easier.
  7. Effect on School Subscription - how adding this instructor will effect your school's subscription costs.

Instructor Settings

Teaching specific details about an instructor. Try to fill in as much as possible, particularity their DSA ADI Number. This information will make the lives of you and other administrators easier.

Some of the values in this popup are automatically populated from defaults. Your school administrator can change these.

  1. Profile (optional) - your instructor's bio. We suggest a short, friendly description of their experience and offering. This will be accessible to pupils.
  2. DSA ADI Number (optional) - reassures your pupils that your instructor is professional. This will be accessible to pupils.
  3. Car Details (optional) - give new pupils an idea of what they will be driving. This will be accessible to pupils.
  4. Working Hours - see the Instructor Documentation - Working Hours section for more details.
  5. Minimum Travel Time Between Lessons - Specifies the minimum gap you or another administrator should leave between lessons when booking into the instructor's diary. Also prevents pupils requesting lessons too closely to others in the instructor's diary. See Booking Lessons - Minimum Lesson Gap for more details.
  6. Minimum Lesson Cancellation Notice - Prevents pupils cancelling lesson lessons without a minimum of notice.
  7. Minimum Lesson Request Notice - Prevents pupils requesting lessons without a minimum of notice. Only available if your school has enabled pupils to request lessons.
  8. Default Syllabus - the default test standard for new pupils for this instructor. Choosing "Use Default" for either option will result in use of the current school default. See the Recording & Tracking Pupil Progress section for more details.

Notification Settings

  1. Email Notifications - You can opt the instructor in to receiving notifications by email. This avoids the instructor having to log in to the app regularly to manually check their notifications.
  2. Text Message Notifications - If text message notifications are enabled for the school you will be able to opt the instructor in to receive them here. Note: To receive text messages there must be a mobile telephone number in the contact details section.
  3. Daily Lesson Summary - opt the instructor in to receive a summary of your lessons for the day ahead. Sent early in the morning, each day. Note: This will always send emails, regardless of whether they have opted to receive email notifications or not.
  4. Weekly Lesson Summary - opt the instructor in to receive a summary of their lessons for the week ahead. Sent early in the morning on the specified day, each week. Note: This will always send emails, regardless of whether they have opted to receive email notifications or not.
  5. Day To Send Weekly Summary On - The day of the week upon which to receive the weekly summary. Usually a Sunday or Monday.

Notes & File Attachments

You can add notes, including file attachments, to the instructor.

General Profile Settings

This tab is almost identical in behaviour to that used when creating an instructor. See Adding New Instructors - General Profile Settings for details.

The differences are:

  • The 'Change Password' link. Use this to change the instructor's password if they request you to do so.
  • The 'Created At' date - when the instructor was initially created.
  • The 'Is Active' toggle button. This can be used to change the active/inactive state of a instructor. Inactive instructors do not appear in various selection lists within the app, such as when sending an email. You & other admins should turn staff inactive when they no longer work with you. If they return you can always use this filter & the search box to find them and make them inactive again.

Instructor Settings

Security

This tab provides control over the devices with active sessions for the instructor.

If the instructor reports that they have a stolen or lost device you can log out those devices to ensure the security of their account.

Desktop

  1. Search - search for sessions by device or IP address. The list will change as you type.
  2. Active Sessions - shows all active log in sessions across all of the pupil's devices.
  3. Multiple Select - multiple select controls for the 'End Selected' session action.
  4. End Selected - ends the currently selected sessions. This is useful if the pupil has a lost or stolen device and wish to ensure that their account is not easily accessible from that device.
  5. End All - ends all session across all devices.
  6. End Session Action - ends the session.

Mobile

  1. Search - search for sessions by device or IP address. Enter your search terms and tap the spyglass button to filter the list.
  2.  Active Sessions - shows all active log in sessions across all of the pupil's devices. Tapping any session gives the option to end that session so the pupil's account is not easily accessible from that device.
  3. Filter & Sorting Menu - click for filter and sorting options. See Filters & Sorting for more information.
  4. End All - Ends all session across your devices except your current session.

  • Sorting - Select which field you wish to sort by. Select a direction, ascending or descending.
