Managing Staff

This feature is only available to School Admin users. Office Admin users have more limited interface allowing them to manage instructors only. See Managing Instructors as an Office Admin for details.

To manage your school's staff, you can select the ‘Staff’ item from your dashboard:

This will take you through to the staff list which provides you with access to all of your school's staff.

Desktop

By default the list only shows active staff members, but you can use the Active/Inactive filter to show inactive staff too.

  1. Search - search for staff members by name. The list will change as you type.
  2. Active/Inactive Filter - filter the staff shown in the list based on whether they are active or not. Inactive staff do not appear in various selection lists within the app, such as when sending an email. You & other admins should turn staff inactive when they no longer work with you. If they return you can always use this filter & the search box to find them and make them inactive again.
  3. New Action - click to add a new staff member. See Adding New Staff for more information.
  4. Download All Contacts - download all active contacts as a VCard file. See Downloading Contacts for more details.
  5. Column Headers - some can be clicked to sort the list based on the contents of the column.
  6. Staff Member Item - click to open the staff profile & settings popup. See Changing Existing Staff for more information.
  7. Staff Roles - defines what a staff member can do within the app. See Staff Roles for more details.
  8. List Page Information - The list only shows a maximum of 10 items at a time. To move back and forward between pages you can use the Prev/Next links here.
  9. Actions Link - Click to show a menu with various options for a particular staff member. See Staff Item Actions for details.

Staff Item Actions

  • Staff Member's Profile - view & change the staff member's profile & settings. See Changing Existing Staff for more information.
  • Instructor's Diary - go straight to this instructor's diary. Only available for staff members in the Instructor role.
  • Analytics - view analytics this instructor. See Viewing My Instructor's Statistics & Reports for more details. Only available for staff members in the Instructor role.
  • Send a Message/Reminder - provides options for sending messages and re-sending system messages to the staff member. See Contacting Staff for details.
  • Download Contact Card - download this contact as a VCard file. See Downloading Contacts for more details.

Mobile

By default the list only shows active staff members, but you can use the Active/Inactive filter to show inactive staff too. Simply tap the 'Filter' action.

  2. Download All Contacts - download all active contacts as a VCard file. See Downloading Contacts for more details.

 Filters & Sorting

  • Active/Inactive Filter - filter the staff shown in the list based on whether they are active or not.   • Sorting - Select which field you wish to sort by. Select a direction, ascending or descending.

Staff Roles

There are three roles into which staff members can be placed:

  • Instructor - Has access to their own pupils and diary. Does not have access to school settings. See the Instructors Documentation for an insight into the features available to your instructors.
  • Office Admin - Has limited access to the school. Can manage instructor diaries, pupils, sign ups, contact logs and payment information. Does not have access to school settings or subscription information. Within this documentation features not available to Office Admins are clearly explained as such.
  • School Admins - Has full access to the school. Can manage instructor diaries, staff, pupils, sign ups, contact logs and payment information and anything else related to the school. Within this documentation features not available to School Admins are clearly explained as such.

A given staff member can be in multiple roles at once. For example it is fairly common in smaller driving schools for the school administrator to also teach as an instructor.

It does not make much sense for a staff member to be a School Admin and Office Admin because School Admins can do everything an Office Admin can and more.
